Turn meeting notes into actions that reach the tracker
If project managers still spend an hour writing minutes and copying actions into a spreadsheet after every meeting, this workflow prepares both drafts together for one named person to check.
Why are AI meeting notes still creating work?
A transcript is just a record of what people said. The project manager still has to find the decision, write the action properly, add an owner and due date and copy it into the team's tracker. This workflow prepares that structured draft and flags anything it cannot identify with confidence.
- Minutes drafted in the structure the team already uses.
- Decisions, actions, owners and due dates shown separately.
- Possible risks, dependencies and unanswered questions marked for checking.
- Reviewed actions sent to the existing tracker or register.
Where do the actions go?
They go to the tool the team already checks, which may be SharePoint, Microsoft Lists, Planner or an existing project register. The meeting owner reviews the draft first. We do not add a separate meeting bot or another action list unless the current setup genuinely cannot do the job.
Official guidance: Microsoft 365 Copilot enterprise data protection.
What about consent and confidential meetings?
Before testing, the team agrees who may record, how attendees are told, where transcripts and drafts are stored, who may read them and when they are deleted. Legal, HR, confidential or commercially sensitive meetings may need a separate process or may stay outside AI altogether.
Good fit
Use Attenta Partners when your team knows what it wants AI to do, but not how to make it safe and repeatable.
- A project team that holds the same governance, supplier or delivery meeting every week.
- A team that issues minutes but still loses actions between meetings.
- An organisation that wants the reviewed record to remain inside its Microsoft setup.
Boundaries
What AI will not do.
- Recording or transcribing people without the notice and approval the organisation requires.
- Treating a raw transcript as the approved minutes without a named reviewer.
- Making commitments, escalating issues or sending follow-ups without human approval.
FAQ
Questions teams ask before putting AI into live work.
Can this work with Microsoft Teams meetings?
Yes, where the client's Microsoft 365 licences, meeting policy, recording permissions and data controls support it. The exact workflow is confirmed with the client's IT and meeting owners.
Does AI send the minutes automatically?
Not by default. AI prepares a draft, and an accountable person checks the decisions, actions, owners and dates before the record is issued or a tracker is updated.
Does this replace managed project administration?
No. It can accelerate one part of managed project administration. Attenta Partners can also provide the human review, action chasing and register upkeep needed after the draft is produced.
Can it capture risks and decisions as well as actions?
Yes, if the meeting structure and source quality support it. The workflow can propose decisions, risks, dependencies and questions, but uncertain items remain visibly flagged for review.
