AI document creation and control workflows

Create first drafts without losing document control

If your team keeps rebuilding the same reports, letters or procedures from old files, AI can prepare the first draft in the right template while your existing review and approval process stays in charge.

What documents can it help with?

It can start a recurring report, briefing note, procedure, letter or project record from an approved template and named source files. It can also compare versions, check that required sections are present and suggest the right metadata. Missing evidence is flagged, not invented.

  • Briefing notes, project reports, procedures and letters the team produces repeatedly.
  • Templates completed from approved files, emails, meetings or structured records.
  • Checks for naming, metadata, registers and required sections.
  • A clear route to review, approve, file or return the draft for correction.

Can it use Word, SharePoint and our templates?

Yes, where the licence and permissions support the job. Copilot can help draft Word content from files, emails and meetings the user may access, while SharePoint can hold the reviewed version. We define the approved sources and template, then keep versioning, filing and retention in the existing process.

Who approves the final document?

The same accountable person who approves it now. AI can prepare and check a draft, but it does not set the formal status, approve the version or issue the document. The hand-off is explicit so a polished draft cannot slip past the client's document-control rules.

Good fit

Use Attenta Partners when your team knows what it wants AI to do, but not how to make it safe and repeatable.

  • A team that creates the same reports, briefing notes, procedures or letters from known sources.
  • A document controller who still has to correct names, metadata, registers and approval routes by hand.
  • A Microsoft-based organisation that needs drafts to stay inside its current document process.

Boundaries

What AI will not do.

  • AI writing and approving legal, engineering, safety or financial material on its own.
  • Creating documents from files nobody has checked or authorised for the job.
  • Using AI to bypass the client's formal document-management or records policy.

FAQ

Questions teams ask before putting AI into live work.

Can AI create documents from our existing Microsoft files?

Yes, where the user has permission and the chosen Microsoft licence supports it. The workflow names the allowed sources and keeps a human responsible for verifying the draft.

Can the workflow use our templates and terminology?

Yes. A pilot can test approved templates, required sections, terminology, metadata and review rules using realistic but permitted source material.

Does AI approve or issue the document?

No, not by default. The accountable client or Attenta reviewer checks the draft before it is approved, issued, filed or used for a decision.

Is this the same as document control support?

It is an AI-assisted layer around creation and checking. Attenta Partners can also provide the managed document-control work that keeps registers, versions, approvals and follow-up current.
